Grants and Administration Manager

As a Grants and Administration Manager, your role is a crucial part of the J. E. Fehsenfeld Family Foundation (JEFFF) and ensures smooth operation within the foundation. You will be responsible for overseeing and managing the entire lifecycle of grant programs and daily operations of the JEFFF. This role is remote with an option for an office in Indianapolis, Indiana and requires long-distance weekend travel required 3-4 times per year, and potentially to the Indianapolis office for face-to-face meetings with Family Office staff.

Responsibilities:

  1. Designing Grant Programs: You'll be involved in shaping grant initiatives, from conception to implementation.
  2. Determining Funding Needs: Assess the financial requirements for various projects and programs.
  3. Coordinating and Engaging with Grant Writers: Collaborate with those responsible for crafting grant proposals.
  4. Optimizing the Grant Administration Process: Streamline procedures for efficient grant management.
  5. Tracking Grant Applications: Evaluate applications for compatibility, compliance, and completeness.
  6. Managing Timelines and Deliverables: Ensure timely execution of grant-related tasks.
  7. Preparing and Monitoring Budgets: Oversee financial aspects of grants.
  8. Reporting to the Board of Directors: Keep the board informed about grant-related matters.
  9. Board Engagement: Attend meetings and record minutes.
  10. Providing Analysis to the Board: Offer insights into grant effectiveness and compliance.
  11. Maintaining Committee Calendars and Priorities: Keep schedules organized and on task.
  12. Administrative Duties: Maintain the annual calendar, handle family communication needs, and manage marketing and supplies.
  13. Identifying Support Agencies: Establish connections with relevant organizations.
  14. Partnering with Social Impact: Collaborate on family and business philanthropic opportunities.
  15. Coordinating with the Family Office: Plan meetings, site visits, and service projects.
  16. Handling Family Youth Philanthropic Programming: Address specific areas of focus.
  17. Family Member Grant Application Status Updates: Keep family members informed and express gratitude through thank-you notes.
  18. Communication: Maintain both voice and snail mail correspondence.

Responsibilities will evolve over time in collaboration with the board.

Requirements:

  1. Experience: Bachelor's degree or equivalent experience with a minimum of 5 years working in the non-profit sector with a preference for grant making experience
  2. Grant Program Implementation: Proficiency in designing, sourcing, and evaluating partner organizations and applications.
  3. Technical Skills: Proficient in Microsoft Office Suite.
  4. Communication Skills: Strong verbal and written communication abilities are essential.
  5. Travel: Long distance weekend travel required 3-4 times per year, and potential travel to the Indianapolis office for face-to-face meetings with Family Office staff.
  6. Confidentiality: This role requires confidentiality and is incompatible with holding additional responsibilities within The Heritage Group.

Your role as a Grants Manager will contribute to distributing funding, improving collaboration opportunities, and executing meaningful projects for the organization.

This role reports to the President of the J. E. Fehsenfeld Family Foundation and sits within the Family Office of The Heritage Group.
