Location: Indianapolis                                                                                Department: HR and IT Shared Services    

  Job Summary:

This Office Manager role will support both IT Shared Services (ITSS) and HR Shared Services (HRSS) from an Office Managerial standpoint as well as the Director of IT and Director of HR Operations from an Executive Assistant perspective. The Office Manager will ensure that all office matters are taken care of in a timely manner as well as support all individuals in ITSS and HRSS (approximately 50 people). The individual in this role must portray a high level of professionalism and confidentiality with senior leaders and other employees to build strong relationships and appropriately represent ITSS and HRSS.

 

Decision making capability, detail orientation, sense of accountability and creative problem solving are crucial to ensuring success in the role. This position will align with the objectives of our overall culture and need to connect across our THG community.

 

Essential Job Functions:

 

  1. Support the ITSS and HRSS teams by:
    • Calendar maintenance and organization for group events
    • Project support, which could include use of SharePoint, Microsoft Office365, mailing assistance, etc.
    • Virtual filing and organization of materials
    • Organize and prepare all events or meetings for ITSS and HRSS employees, which includes providing administrative support in meetings such as preparing the room, arranging catering, and taking notes.
    • Maintenance of office supplies through procurement and stocking activities
    • Lead cleanliness efforts of community spaces

 

  1. Administratively support the Director of IT and Director of HR Operations by:
    • Scheduling of travel
    • Calendar maintenance and organization for group events
    • Creation and design of relevant presentation or documents
    • Virtual filing and organization of materials
    • Management of monthly P-card expenses
    • Project support, as needed

 

  1. Act as first point of contact for THG employees, contractors, suppliers, and external guests entering the ITSS and HRSS space.
  2. Promote a team and friendly work environment by:
    1. Organizing and managing team events
    2. Developing creative ways to bring ITSS and HRSS together (e.g. Spirit Week, Friendly fundraising competitions, etc.)
    3. Encouraging company event participation
  3. Other assignments and support as necessary

 

Requirements:

 

  • High School Diploma or bachelor's degree
  • At least 5 years' experience in an Executive or Office management role
  • Analytic capability, including excel, databases management
  • Advanced knowledge of Microsoft Office Suite
