Learning and Development Coordinator

The Learning & Development Coordinator will assist the Learning & Development (L&D) Team by seamlessly coordinating projects as assigned, providing customer-focused and professional assistance via phone, mail, and e-mail, and managing all administrative aspects of the group. This individual will also serve as a backup in the facilitation of workshops. This is a small but growing team and this position requires someone who wants to come in, grown, & develop, and is a helpful and positive presence in the workplace.

The Learning & Development Coordinator is a multi-tasker with excellent communication skills, strong attention to detail, and a positive attitude. This candidate should be adept at handling multiple projects, tasks, and deadlines while keeping a sharp eye on the details.

Primary Responsibilities

  • Maintain a training database to track training sessions, program participants, The Heritage Group (THG) company, and other data.
  • Will be the back-up to the L&D Manager for facilitation of workshops
  • Partner with HR Shared Services to ensure appropriate and accurate tracking of promotions, transfers, and terminations for Leadership Development Program participants on a regular cadence.
  • Coordinate daily logistics for in-person and/or virtual training programs including:
    • Ordering and preparation of materials and pre-work for participants
    • Manage training registrations through Learning Stream (or another online platform)
    • Manage capacity of classes, waitlists, zoom links, etc.
    • Communication with trainees (reminders, etc.)
    • Coordinate conference rooms for workshops, arrange hotel room blocks, food needs and any car/flight reservations for larger Learning and Development Programs
    • Manage "day of" set-up and tear down of programs when in person.
  • Support and update curriculum database for both in-person and virtual trainings.
  • Organize and sort all L&D teambuilding materials and supplies (i.e. all training accessories, Personality Assessment materials and posters, icebreakers, team building activities, buzzers, etc.)
  • Partner with our marketing team to translate and re-design PowerPoint content from external providers (DiSC, Covey, Dale Carnegie, Flashpoint, etc.) to look and feel "THG."
  • Work with IT Shared Services to create "groups" for Development Program Cohorts to stay connected
  • Keep a "live" ongoing list of requests and asks from the operating companies in terms of L&D support.
  • Update and maintain our L&D vendor relations master list.
  • Update and maintain our L&D Course Catalog of offerings quarterly.
  • Participate in L&D "demo test" content and provide insights, summaries, and feedback (All access pass, Ken Blanchard, Mind Marker, etc.)
  • Update and maintain resources on our THG Resource page
  • Collaborate with Executive Administrators to create and rollout a calendar each year with key trainings and conferences
  • Gather feedback through survey tracking/ analysis from facilitators and trainees after THG workshops.
  • Transfer and organize all remaining L&D surveys in Survey Monkey.

The Learning & Development Coordinator will also own the following projects:

  • Create and maintain a Learning and Development SharePoint Site or Database to house all training materials and facilitator guides.
  • Become the Mind Marker Administrator
  • Expert in house Catalyst Platform administrator for DiSC
  • Manage, assign, coordinate all DiSC assessments through our EPIC account
  • Manage billing, transfer of credits, communications, reminders, departments, all things encompassed in Catalyst (still new and evolving)

Qualifications/Competencies:

  • Associates Degree, Bachelor's Degree is preferred
  • Two to five years of experience in an Operational/Executive support role
  • Ability and comfort level facilitating workshops and presenting
  • Impeccable integrity and ethics
  • High degree of confidentiality
  • Proven oral and written communication skills
  • Ability to interface with all levels of the organization
  • Effective relationship skills necessary to build trust and credibility
  • Excellent presence and professionalism
  • Highly organized and attentive to detail
  • Creative problem solving and critical thinking skills
  • Exude passion for supporting others to maximize success
