Executive Assistant, Finance and Enterprise Risk

Job Summary:

The Executive Assistant, supports the CFO, VP Enterprise Risk and Corporate Finance executives and ensures a smooth operational rhythm for the team. Professionalism and confidentiality with senior leaders and other employees are crucial to build strong relationships and appropriately representing the team within the organization. Decision making capability, detail orientation, sense of accountability and creative problem solving are crucial to ensuring success in the role. This position will align with the objectives of not only the CFO/Finance & Enterprise Risk team but the broader team of Executive Assistants across the organization.

Essential Job Functions:

  • Manage (but not limited to):
    • Scheduling of Travel
    • Calendar maintenance and organization
    • Prepare expense reports
    • Creation and design of relevant presentation or documents
    • Virtual filing and organization of materials
    • Maintain data and applicable metrics
    • Partner with HR on effective on-boarding of new Finance/Enterprise Risk team members into the organization
    • Preparation for meeting materials, support of leadership council and executive team level presentations
  • Support CFO/Enterprise Risk in executing on broader company objectives, to include:
    • Support organization of key events and CFO/Enterprise Risk meetings
    • Administrative support to Finance/Enterprise Risk teams as needed
  • Support Corporate Travel/Purchasing Programs:
    • Concur
    • Fed Ex, Amazon, etc
    • Rental car programs
  • Participate as a member of Executive Assistant team within the organization
    • Build and maintain strong working relationship with other Executive/Administrative Assistants
    • Support objectives of Executive Assistant team to include planning and execution of company-wide events.
  • Other duties as assigned

Requirements:

  • Bachelors degree or equivalent work experience preferred
  • At least 5 years' experience in an Executive or HR Support function
  • Analytic capability, including excel, databases and intranet management
  • Advanced knowledge of Microsoft Office Suite, specifically Office, Outlook and PowerPoint

This position will be on-site at I-465 and W. 71st St. on Indianapolis' Northwest side
