Executive Assistant, External Affairs

Summary:

The Executive Assistant, External Affairs will support the leadership of the broader group. This individual will make their impact by supporting daily functions of the group, including calendar management, arranging travel, assisting in event planning & more.

Professionalism and confidentiality with senior leaders and other employees is crucial to build strong relationships and appropriately representing The Heritage Group and respective companies. Decision making capability, detail orientation, sense of accountability and creative problem solving are crucial to ensuring success in the role.

Job Requirements:

  • Manage the calendars and appointments of External Affairs leadership
  • Organize meetings, including scheduling participants, the location and ordering catering, when necessary
  • Must be able to prioritize meetings
  • Make travel arrangements
  • Must be proactive in spotting conflicts and resolving them
  • General administrative support to External Affairs leadership
  • Prepare expense reports
  • Order office supplies
  • Administrative event support
  • The EA will ensure THG is taking full advantage of benefits offered to it through philanthropic giving and association memberships
  • Organize and maintain a system where tickets/credentials/etc are tracked and given out
  • For example, Lexus Lofts at Gainbridge and IMS tickets
  • Ensure we meet deadlines for events
  • Help with MarComm needs
  • Organize swag when needed
  • Unless otherwise communicated, this EA position is internally focused.
  • The EA must show extreme discretion and not share internal discussions or deliberations

Required Education, Experience, Skill and Abilities

  • Bachelor's or Associates Degree in Business Administration, Human Resources, Communication or related discipline; or equivalent work experience is preferred.
  • 5+ years' experience supporting executives: Vice-President, President, COO, CEO is preferred
  • Ability to maintain highest levels of confidentiality and professionalism
  • Exceptional communication skills, both written and verbal
  • Expert level computer skills: MS Office; Excel, Power Point, Outlook, Word
  • Ability to prioritize in a high stress, fast paced environment
  • Ability to work looking at a computer screen or screens for 6-8 hours per day
  • Ability to complete tasks with a high level of accuracy and attention to detail
  • Willingness to take be agile and flexible, taking on additional tasks and manage changes as necessary
