Estimating Administrator
Position Summary:
Provides administrative support to Estimating team
Essential Functions:
- Prepares bid documents
- Assists in preparation of pre-qualification documents
- Gathers all required information and inputs into bid package
- Prepares INDOT DBE solicitations
- Ensures accuracy of all information
- Delivers/picks up bids; attend public bid openings
- Develops beneficial business relationships
- Develops good working relationships with customers, suppliers and subcontractors
- Performs day-to-day administrative tasks
- Assists with quantity take-off
- Assists with job promotions
- Assists with supplier and subcontractor solicitation
- Assists with shop/structural drawings
- Communicates with internal/external customers.
- Answers inquiries via phone, email or in-person.
- Provides highest levels of customer service.
- Types letters, memos, correspondence and transmittals
- Promotes and maintains safe work environment.
- Exhibits safe work behaviors
- Wears all prescribed PPE

- Clerical office environment
- Indoor lab conditions that include standard office equipment such as computers, photocopier, phone, filing cabinets, fax machines, cubicles
Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- Sits at a desk regularly
- Looks at a computer screen 8 hours a day
- Performs data entry, alpha and 10-key numeric, on a keyboard
- Uses copy/fax to scan documents
- Drives a motor vehicle
- May lift or move up to 10lbs
Position Type/Expected Hours of Work This is a full-time position, normally 40 hours per week. Days and hours of work are Monday through Friday, during normal business hours.
Travel Regular travel to job sites, customer sites, and corporate offices around the state is required; mostly day trips, but some overnight travel.
Required Education and Experience
- HS Diploma or GED
- 1-3 years previous experience in administrative or technical position
Preferred Education and Experience
- Associate's degree or two years of college
- Construction or heavy/highway industry experience
Additional Eligibility Qualifications
- Must pass a pre-employment drug screen
- Must adhere to drug free workplace requirements, including random testing requirements
- If required to drive a company vehicle, must have or be able to obtain valid, state driver's license and meet company driver requirements
Work Authorization/Security Clearance (if applicable) Must be authorized to work in the United States, as verified through E-Verify. Some job sites may require additional criminal background testing.
