Accounts Payable Specialist

Job Summary:

To ensure the accuracy and timeliness of the accounts payable functions by processing invoice transactions, invoice and requested payments, and inputting vendor information. The Accounts Payable Specialist will also help with internal control functions related to cash reconciliations, tax reporting requirements, accounts payable projects, accounting projects, and intercompany transactions


Essential Functions & Responsibilities:

Work with accountants and company employees to ensure inputs to the accounts payable module are accurate and reliable.

Perform Accounts Payable duties as follows:

  • Utilize Payables System to enter vendor invoices, review check disbursements, and ensure payment to vendors based on vendor terms.
  • Enter payable vendor invoices related to purchase orders & non-purchase orders.
  • Review vendor invoices & supporting documentation to assure accuracy of invoice.
  • Understand how the payable process impacts the financial statement and company performance.
  • Work to ensure that vendor tax information is being inputted into the system and 1099s are processed accurately.
  • Ensure all internal & external questions related to accounts payable are resolved in a timely manner.
  • Ensure payments to vendors are paid on time and reconcile outstanding aging balances are rectified and credits are received.
  • Work closely with Corporate Controller and Corporate Senior Accountant to design and implement operational practices that drive standardization, efficiency and automation of processes.
  • Help with intercompany transactions and reconciliations.
  • Review and reconcile bank accounts.
  • Maintain confidentiality of all financial information and vendor information.
  • Work with corporate departments on special financial projects.

Requirements:

High School Diploma

College Degree in Business or Accounting preferred

0-3 years in Accounting or Business Type Funcitons

Microsoft Dynamics GP Preferred

Microsoft Office 365 programs

Excellent interpersonal skills to communicate effectively with internal co-workers and external vendors.

Strong knowledge of computers, and accounting software (i.e. Microsoft Dynamics GP).

Ability to influence or negotiate.

Organized and able to prioritize effectively.

Experience working with multiple people and groups at once.

Ability to maintain confidentiality of company information.
