Job Summary

Reporting to the Sr. Benefits Manager, HR Services, the 401k Benefits Analyst supports HR Shared Services (HRSS) in benefits, payroll, and system processes. The work includes updating/maintaining the HR recordkeeping system, performing regular plan audits, reconciliations for benefit programs, and making recommendations to increase employee utilization of benefit programs. The position is also responsible for the 401k benefit programs' system alignment for acquisitions and mergers. The 401k Benefits Analyst is responsible for assisting with the daily administration of benefits and backs up the Health Benefits Analyst.

Essential Job Functions

  • Prepares and sends benefit reporting, ensures report integrity, and responds to benefit questions
  • Performs system testing/validation and oversees the implementation of applicable changes, including for an acquisition or merger
  • Defines and performs periodic audits of benefits enrollment data to ensure accuracy as it pertains to eligibility and employee election information. Works closely with vendors to reconcile and correct discrepancies
  • Proactively identifies issues, problems, or process improvements & recommends potential solutions
  • Communicates in a professional manner with internal & external clients including process changes and how solutions create win-win
  • Maintains and updates the benefits process documentation identifying areas for process efficiencies and recommends solutions
  • Maintains confidentiality and the highest degree of integrity
  • Exhibits behaviors in alignment with HRSS and THG's organizational cultures and values
  • Ensures accurate and timely benefits enrollment in the recordkeeping system through timely audits
  • Assists with HRIS system testing/validation for open enrollment, benefits changes, and M&A activity
  • Provides utilization reporting
  • Provides Tier 2 Support: Assists employees with resolution of more complex benefit-related issues by partnering with employees and vendors
  • Works with benefits carriers on plan document and administration questions
  • Learns and Performs duties of the Health Benefit Analyst when additional coverage is needed
  • Manages related vendor administration, vendor issues and supports employee education
  • Manages annual 401k Audit Process and gathers the required documents
  • Assists with the annual benefits open enrollment process
  • Supports cyclical HR processes/projects and cross-functional HR initiatives as needed.
  • Assists with benefit program compliance by following plan rules and completing timely audits
  • Responsible for continuing education including changing laws and regulations. Applies these learnings and communicates non-compliance to manager.
  • Assists with compilation of data and documentation for compliance-related submissions, such as Form 5500, Summary Plan Descriptions, Non-Discrimination testing and other requirements
  • Manages periodic 401k processes, including AMD & RMD, and performs periodic data review for any communication or action items needed including loan and uncashed check monitoring.
  • Responsible for timely 5500 submission through auditor and TPA management
  • Responsible for distribution of Annual required notices
  • Monitors compliance resource for required tasks and shares content with other parties for tasks unrelated to this position
  • Ensures Timely and Accurate Deposits of 401k withholding, loans, and match
  • Maintains 401k, HRA, HSA, & Unum Vendor Relationships, Website Tasks, and hosts vendor recurring meetings
  • Responsible for performing ACA auditing, deadlines, submissions, & any needed corrections utilizing our vendor Worxtime
  • Responsible for the administration of the active 401k Plans including NQ plans
  • Responsible for the administration of the HRA plan
  • Responsible for the administration of the HSA plan including ensuring timely and accurate seed money deposits, excess seed money billing, refund processing for unopened accounts, system election maintenance, & needed communication
  • Other Items as Assigned

Requirements:

  • Bachelor's degree (preferably in HR) or applicable experience in benefit and compensation plans, leave management, policy and HR cyclical processes for a mid-size organization.
  • Minimum 2-4 years of experience in benefits administration or related field required.
  • PHR/SPHR or CEBS certification a plus.
  • Extensive knowledge of employee benefits, as well as ability to easily communicate them, and applicable laws.
  • Proficient with Microsoft Office Suite and knowledge of HRIS systems.
